A deposit reconciliation habit for traders who fund several exchanges

Guides · 2026-10-10

When you fund one exchange account occasionally, you notice immediately if a deposit does not arrive. When you move money into several accounts on Binance, OKX, Bybit and Bitget, sometimes several times a week, it is surprisingly easy to lose track. A deposit sent to the wrong account, on an unsupported network or without a memo might sit unresolved for weeks before anyone notices, and by then the details are harder to reconstruct. The fix is not complicated: a regular reconciliation habit that compares what you sent with what arrived. This guide describes a lightweight routine that fits into an active trading schedule, helps you catch problems early and gives support teams the information they need if something does go wrong.

Log each deposit at the moment you send it

Keep a simple log, a spreadsheet or a notes file, with one line per deposit: date and time, source, destination exchange, asset, network, amount and transaction ID. Fill it in when you send, not later. This takes seconds and creates the reference you will need for reconciliation. Include deposits of local currency as well as crypto, noting the bank or payment reference. A deposit you never logged is the one most likely to be forgotten if it goes missing.

Reconcile at a fixed time

Once a day if you trade heavily, or once a week otherwise, compare your log with each exchange's deposit history. Mark each line as credited when you find the matching entry. Anything not yet credited after a reasonable time deserves attention. Look up its transaction ID in the block explorer, check that it went to the correct address on the correct network, and confirm whether the receiving exchange shows it as pending confirmations or not at all.

Investigate gaps while details are fresh

When you find a deposit that has not arrived, act promptly. Check the receiving exchange's announcements for network maintenance. Verify that any required memo was included. If everything was correct and the transaction is confirmed on chain, contact the exchange's official support through the app with the information from your log. Early reports are easier to resolve, because records on both sides are recent and you remember exactly what you did.

Use the log to improve your setup

Over time, your log reveals patterns. You may notice that certain networks often take longer to credit, that one exchange regularly requires memos you forget, or that deposits sent late at night are slower. Use these insights to adjust your habits: prefer reliable routes, save tested addresses in address books and keep a short note of the quirks of each platform. Back up the log securely, since it also forms a useful part of your trading records.
